How to manage baaki collections across multiple retail outlets
A customer who takes goods on credit from Gulshan on Tuesday and from Uttara on Friday is one customer. If each outlet keeps its own baaki book, you will collect twice, collect never, or argue about a number nobody can prove.
The fix is the same unglamorous move as stock: stop tracking what people owe the shop, and start tracking what they owe the company.
One customer, not one notebook per outlet
If Uttara's manager has a copy book and Gulshan's manager has WhatsApp, you do not have a collections process. You have two memories.
Give the customer one record in the company. Sales from any outlet post against that record, so outstanding baaki is a company number in BDT.
Separate the walk-in sale from the credit sale
POS is for the till: cash, card, and a closed drawer. Baaki usually lives on sales orders-confirm, ship, invoice, then collect what is still outstanding.
Mixing those two in the same informal list is how a cash customer becomes a mystery balance three weeks later. Use the credit path when the money is not finished at the counter.
Make outstanding visible every morning
A baaki book that only opens when someone shouts is not control. Outstanding collection and COD baaki should be a report the owner can open without calling every outlet.
If the number disagrees with a manager's notebook, trust the documents-the order, the invoice, the payment-not the louder voice.
Collect against the invoice, not against a conversation
When money comes in, record it against the outstanding sale. Partial collections are normal in Bangladesh retail; they should reduce a known balance, not create a new side note.
This is also how you stop two outlets from both chasing the same ৳20,000 because neither saw the other's collection.
Do not hide collections from the people who need them
An outlet manager may need to see what their regulars still owe without seeing company-wide profitability. That is a permission question, not a spreadsheet question.
If the only person who can see baaki is the owner, collections will wait until the owner is in the shop. That does not scale past one branch.
What this is not
A collections process will not make a bad customer pay. It will stop good customers from being billed twice and stop outstanding money from living only in someone's head.
Workcel Sales keeps baaki and COD visible on the order views and on the owner dashboard's sales tile. It does not send legal notices or run a recovery agency.
